Refund Policy

1. Overview
This Refund Policy applies to all paid tournament registrations processed through GetPaird. The Platform acts as an intermediary between tournament organizers ("Organizers") and participants ("Players") to ensure fair and secure payment handling.
The Platform supports two payment processors: Stripe (via Stripe Connect) and HelloAsso. Refund procedures differ depending on the payment method used. The payment method is displayed on your registration confirmation.
2. How Payments Work
2.1 Stripe Payments
Stripe payments are processed securely through Stripe Connect, a PCI DSS Level 1 certified payment processor. This means:
- The Platform collects the payment on behalf of the Organizer.
- A platform commission is deducted from each payment.
- For standard Organizations, funds are held by the Platform until the tournament is completed and a mandatory cooling-off period has passed (typically 7 days).
- For trusted Organizations (verified by Platform administrators), funds may be transferred immediately.
- Credit card information is never stored on the Platform's servers.
2.2 HelloAsso Payments
Some tournaments use HelloAsso as a payment processor. In this case:
- Payments are processed through an embedded HelloAsso widget on the Platform.
- Funds are collected and managed directly by HelloAsso, not by the Platform.
- The Platform receives payment confirmation via webhook but does not hold or manage the funds.
- Credit card information is handled exclusively by HelloAsso.
3. Tournament Cancellation by Organizer
If a tournament is cancelled by the Organizer:
Stripe Payments
- Automatic full refund: All paid Stripe registrations are automatically refunded in full to the original payment method.
- Processing time: Refunds typically appear on your bank statement within 5-10 business days, depending on your bank.
- Refund fees: Stripe processing fees for refunds are borne by the Organizer, not the Player.
- Trusted Organizations: For trusted Organizations where funds have already been transferred, the Platform initiates a reverse transfer to recover the funds before processing refunds.
HelloAsso Payments
- The Platform cannot automatically refund HelloAsso payments, as funds are managed directly by HelloAsso.
- The Organizer must process refunds directly through their HelloAsso dashboard at HelloAsso.com.
- Contact the Organizer if you have not received your refund after a tournament cancellation.
4. Player-Initiated Cancellation
If you wish to cancel your registration and request a refund:
- Contact the tournament Organizer directly through the Platform.
- Refund decisions for player-initiated cancellations are at the Organizer's discretion.
- Organizers may issue full or partial refunds through the Platform's financial management tools (for Stripe payments).
- For HelloAsso payments, the Organizer must process the refund directly on HelloAsso.com.
- We recommend cancelling as early as possible before the tournament start date.
5. Partial Refunds
For Stripe payments, Organizers have the ability to issue partial refunds. This may apply in situations such as:
- A tournament format change that reduces the value of the entry.
- A goodwill gesture for service issues during the tournament.
- Any other situation at the Organizer's discretion.
Partial refunds are tracked in the Platform's payment system. The remaining balance after a partial refund may still be eligible for a further refund if the tournament is subsequently cancelled.
6. Refund for Non-Delivered Service
If you paid for a tournament that was not held, and the Organizer has not cancelled it or issued a refund:
- Stripe — standard Organizations: The funds are still held by the Platform. Contact us and we will investigate. If the tournament was not held (no rounds played, no results submitted), we will process a refund.
- Stripe — trusted Organizations: Funds have already been transferred to the Organizer. Contact us and we will attempt to recover the funds on your behalf through a transfer reversal.
- HelloAsso: Funds are managed by HelloAsso/the Organizer. Contact the Organizer directly, or contact HelloAsso support.
- You may also initiate a dispute/chargeback through your bank or credit card provider as a last resort.
7. Cooling-Off Period (Stripe)
For standard (non-trusted) Organizations using Stripe, the Platform holds funds for a minimum of 7 days after the tournament is marked as completed. During this period:
- Players can report issues with the tournament.
- The Platform verifies that the tournament was actually held (rounds played, results submitted).
- Disputes and chargebacks can be filed.
- If open disputes are detected on any of the tournament's payments, the payout to the Organizer is blocked until the disputes are resolved.
Only after this period, successful verification (at least one round with confirmed results), and the absence of open disputes will the funds be released to the Organizer.
This cooling-off period does not apply to trusted Organizations, whose payments are transferred immediately, or to HelloAsso payments, which are managed outside the Platform.
8. Dispute Resolution
If you have a payment dispute:
- First, contact the tournament Organizer directly.
- If unresolved, contact the Platform through our feedback form.
- If still unresolved, you may file a chargeback with your payment provider.
We aim to resolve all payment disputes fairly and promptly. Note that filing a chargeback may result in the Organizer's account being restricted on the Platform.
9. Tournament Deletion Protection
Tournaments with paid registrations cannot be deleted. They must be cancelled instead, which triggers the automatic refund process for Stripe payments. This safeguard ensures that payment records are preserved and players receive their refunds.
10. Free Tournaments
No refund is applicable for free tournaments as no payment is involved. Players can cancel their registration at any time before the tournament begins.
11. Platform Fees
Platform commission fees are non-refundable. When a full refund is issued to a Player, the Organizer receives a deduction for the platform commission that was already applied to the original payment. The Player receives the full amount they originally paid.
